MISSION The Office Administrator will oversee and support all administrative functions of the organization, managing a busy, multi-task office environment. The Pod Group is partnering with this organization to place a resourceful, hands-on, and organized individual to fulfill the role of a Office Administrator. PRIORITIES Provide clerical and administrative support to the team and across all programs and services. Ensure effective coordination of all administrative functions, systems and information, including document management, multi-line telephone system, file systems, and database maintenance. Provide support to the Finance Manager with invoicing and data input. Manage information flow in a timely and accurate manner, upholding a strict level of confidentiality. Prepare, edit and update documents to professional standards as requested. Other duties as required. Requirements Post-secondary education in Office Administration or related field. Intermediate working knowledge in Microsoft Office Suite (Word, Excel, Access, PowerPoint). Demonstrated experience in office administration, including reception duties, scheduling, data input and compilation. Demonstrated knowledge of computer networks and office equipment. Understanding of basic accounting procedures. Experience with payroll and accounts receivable and payable is a strong asset. Previous experience working in medical or social services settings, with awareness of community social programs is considered an asset. Must be fully vaccinated against COVID-19, subject to applicable legislation. POSITION SUMMARY: As a key member of the organization, reporting to the Plant Manager, this position provides daily administrative support within the Production Department. WHAT YOU WILL DO: Provide administrative and logistical support for the production team and the manufacturing facility.  Create, update and maintain reports and documents, handle incoming calls, filling and processing of mail.   Ensure all time and attendance edits are made in the system; i.e. absences, shift adjustments, overtime and any other edits required.
