Reporting to the Supervisor, Transfers, the Bilingual Transfers Administrator is responsible for daily processing of transfers, reviews and approvals and dealing with escalated items. You proactively encourage collaboration, build trust and inclusion, and work to establish effective relationships both inside and outside of the organization What your day looks like: Process transfer in requests according to service level agreements Monitor the transfers mailbox and collect incoming mail Initiate new manual or ATON transfers in and transfers out, including internal transfers Track status and follow-up on initiated transfers Provide operational support for transfers to external institutions File completed transfer documents and shred all printed documents Review and respond to transfers in inquiries Assist / cover others in the Transfers Department as needed Handle special projects or other assignments as requested Requirements Your experience and skills: Post-secondary education and/or equivalent experience Minimum 1-2 years of experience in back-office administration in a financial securities firm Extremely detail oriented and accurate Strong problem-solving skills Excellent organizational and multi-tasking skills to meet required deadlines daily Strong team player in the department and across departments Strong desire and initiative to become a subject matter expert over time and to reach out and understand the functions of other departments in Operations Strong knowledge of Microsoft Office (Outlook, Excel, Word) Knowledge and experience of Dataphile, Fundserv, CDS and DTCC is an asset Fluency (written and spoken) in English and French is required to effectively communicate with partners, clients, and colleagues across Canada Ability to work EST standard hours Benefits Why Aviso Wealth? Provide proactive, timely, transparent and in-depth financial analysis to enhance the organization’s leaderships and operations, including forecasting, reporting and monitoring the achievement of funding goals. Monitor financial performance, identify areas for improvement, and recommend corrective actions. Ensure quarterly financial statements and balance sheets are prepared for the Finance and Audit Committee and the Board of Directors. B)   Payroll: In collaboration with the Manager, People and Culture, ensure the consistent implementation of the Collective Agreement and HR policies and procedures, and compliance with labour and payroll legislation. Ensures timely, efficient and accurate payroll processing, with strong internal control.  C)   Administration: Collaborate with Director of Resource Development and ensure up-to-date data and reports. Act as the Privacy Officer. Lead administrative staff in day-to-day operations and streamline administrative processes to optimize efficiency. D)  Information and Technology: Provide leadership to the Information and Technology team. Collaborate with IT personnel resources internally and externally to ensure the availability and security of technology resources. Develop Information Technology plans, budgets and liaise with Third Party Vendor. Ensure IT support to all employees and IT troubleshooting, diagnosis and resolution of IT problems. G)  Staff Team Growth and Development: Hire, orient, train, supervise and motivate staff in the Finance and Corporate Services team. I)  Other duties as assigned 🎓WHAT YOU WILL BRING University degree in finance, business administration, or a related field; CPA designation is required. Minimum 5 years’ experience in a senior finance managerial or similar role, including at least 3 years with a non-profit organization and staff supervision. Minimum 3 years’ experience in financial management, in particular in the development, monitoring and reporting on the financial status of the organization and programs. Excellent leadership, interpersonal and communication skills. Proven ability to supervise and mentor staff and engage staff members. Excellent relationship-building and presentation skills to work with a board of directors and provide client-centered support to internal and external stakeholders.
