Status: Full-time, Temporary (Expected contract end date: Aug. 7, 2026) Vacancies: One FTE: 1.0 Schedule: Monday - Friday, 8:30 a.m. - 4:30 p.m. Location: 5966 Centre St. S.E., Calgary, AB Benefits: Yes The Calgary West Central Primary Care Network (CWC PCN) is a non-profit organization committed to a healthier future. We work alongside more than 490 family doctors to provide support for continuous health care. As the Administrative Assistant - Governance & Organizational Operations, you’ll handle a variety of administrative requests and tasks for the Governance & Organizational Operations department. This will include document preparation, coordinating stakeholder engagement activities, and other general administrative support. You’ll also support the operation and maintenance of the CWC PCN’s Main Office facility and IT asset management. In this hybrid position, you’ll work in-person at our office in Calgary two days per week (Monday and Friday), and three days from home (Tuesday, Wednesday, and Thursday). Some additional in-office days and changes to which days are in office may be required based on operational needs. Therefore, the successful candidate must be located within Calgary or the surrounding area (e.g., Cochrane, Airdrie, Chestermere, etc.). This position is a temporary contract (maternity leave cover) and is expected to end on Aug. 7, 2026. Responsibilities Department support Provide administrative support, including document proof reading, editing, and formatting. Manage correspondence with both internal teams and external stakeholders. Council and committee organization Support corporate councils and committees, including the coordination of relevant documentation and distribution of correspondence. Support the preparation and distribution of agenda packages and take minutes for corporate councils and committees. Coordinate the logistics of meetings for CWC PCN advisory councils, including patients and employees. Collaborate with team members to oversee continued compliance with Accreditation Canada standards and work with internal and external stakeholders to undertake related quality improvement initiatives. Main Office and IT administrative support Provide Main Office facilities and reception coverage as required. Screen and forward incoming calls and messages. Monitor email inboxes and respond to or forward messages as necessary. Arrange couriers, handle incoming and outgoing mail, and drop off outgoing mail at a nearby mailbox. Assist in issuing and retrieving CWC PCN assets from incoming or departing employees. Maintain the physical Main Office space, ensuring a safe, clean, professional, and functional environment. Conduct visitor and employee orientations to the facilities as needed. Set up multipurpose rooms for meetings and events. Act as the first point of contact for meeting room technology, office printers, and video conferencing equipment troubleshooting, set up, and service scheduling. Requirements Education: A post-secondary diploma or certificate in business administration, office professional, or a related discipline is required. Equivalencies of education may be considered. Experience: A minimum of one year of professional administrative experience is required. A minimum of one - two years’ experience with meeting coordination, including but not limited to preparing agendas and taking meeting minutes, is an asset. Equivalencies of experience may be considered. Technical: Microsoft Office, including Word, Excel, Outlook, SharePoint, and Teams. Background check: A clear Criminal Background check is required to start.
