About The Opportunity Based at the MML Hamilton office, with occasional site visits as required, the Project Coordinator (PC) manages technical communications, documentation, purchase orders, and invoicing related to assigned projects. This role supports multiple complex projects or a few large-scale projects requiring significant administrative coordination This role requires a strong understanding of the mechanical trade and the ability to work independently. The PC works closely with Project Managers (PMs) and Site Supervisors (SSs), while also coordinating with project engineers, owners, municipal and provincial authorities, and other key stakeholders. As a key contributor on larger and more complex projects, the Project Coordinator ensures Project Managers and Site Supervisors receive timely, accurate information to keep work progressing smoothly. The role also involves assisting with contractual matters and supporting other PCs in troubleshooting challenges on difficult projects issues. What You'll Be Doing: Manages project documentation including contracts, drawings, purchase orders (PO), shop drawings, all correspondence, equipment deliveries, etc. Review of project contract scope against bid scope and reconciliation of differences with GC.  Determines if there are gaps in the scope as defined by estimating. Development of PO documentation for Vendors and Subcontractors based on quotations and project requirements Prepares a Project Schedule and overall Project Budget and supports the PM & SS to manage the schedule and budget During Project handover from Estimating, reviews project specifications, drawings, equipment POs, Sub-contractors POs, Schedules, and Budget data and all other project related documentation Obtains and Reviews Shop drawings, coordinates approval with GC and Engineer.  Determine if shop drawings are applicable and accurate Assists Site Supervisor in coordinating Subcontractors Conducts field meetings and minutes with the PM and SS Tracks and coordinates all vendor shop drawings and delivery dates with SS Prepares Request for Information (RFI), generate change order and/or work orders Coordinates with the GC, Owner or Engineer to resolve coordination issues. Obtains support from the PM or SS as required for difficult issues. Develops progress invoices for the project on a regular schedule. Coordinates all billing issues with GC or Owner.  Works with GC to negotiate a schedule of values During the Project, it regularly monitors progress billing and subcontractor billing to ensure timely cash flow. Can determine what subtractor progress billing levels should be if an invoice is not received Can negotiate with Subcontractors in the best interest of MML when issuing POs Develops the O&M manual package throughout the project Coordinates submissions and maintains the as-built drawings for the project At Project Completion, determines that all project invoices have been completed At “near” Project Completion, implements the necessary tasks to achieve project closeout, including a billing review Accountable for supporting other PCs and SSs Support field staff and projects using technical skills and equipment as required Supports project forecasting activities, and required follow-ups Ensures all project related documentation follows MML procedures Performs other duties as required Requirements General knowledge of the construction industry Minimum of 5 years’ experience in the ICI Construction industry. Mid-rise residential also considered. Experience coordinating with mechanical trades and has a solid understanding of mechanical building systems, such as HVAC, plumbing, and piping as they relate to the construction process Demonstrated ability to organize and balance tasks related to multiple construction projects Proficient working knowledge of project management software (e.g. Procore, Change Order, Accubid or equivalent) Licensing or Red Seal certification in mechanical trade, or equivalent experience, is considered an asset Good communications skills, both written and verbal Driver’s License in good standing and flexibility to travel to job sites when required Benefits What Mattina Offers Mattina Mechanical Limited (MML) offers more than just a job. TEHORA is currently looking for a works coordinator with excellent technical skills, strong knowledge, and a desire to apply their expertise within a versatile team. The following, without being exhaustive, outlines the services and deliverables the selected candidate will be expected to provide. Description of work or deliverables: Plan workforce management in collaboration with building advisors, based on organizational priorities; Clearly identify the type and estimate the quantities of required materials to facilitate procurement; Ensure that the correct materials and quantities are packed and sent to the appropriate communities; Ensure construction workers have the necessary materials and tools to successfully complete their assignments; Monitor work progress and document it weekly for building advisors; Visit each site at least three times to inspect work quality; Schedule rotating work shifts for personnel; Receive, verify, and forward staff timesheets to advisors in accordance with payroll frequency. Requirements A bachelor’s degree in architecture, engineering, construction management, or a related field is required. Completion of occupational health and safety training for construction sites is required. Minimum of 10 years of experience in construction management, including at least 5 years of supervision experience in carpentry and woodworking. At least 1 year of experience supervising construction projects. Provide documentation of two projects completed in remote regions. Strong ability to plan and prioritize work to achieve expected results. Solid knowledge of residential and institutional construction environments. Ability to work collaboratively within a team and with diverse partners from various backgrounds. Strong organizational and planning skills, with the ability to coordinate multiple projects simultaneously.
