Administrative Assistant position opening. Arthur Murray Ottawa is looking to hire an administrative assistant for an upscale Social Ballroom/Latin Dance School in Wellington Village. We are looking for an organized, punctual and positive team member with great interpersonal skills, the one who is being open to learn school procedures and culture. Strong computer and communication skills are a must. Company booking software, communication techniques and all the necessary training provided. Duties overview: • Greet guests at the desk. You will be the face of the company! • Ensure smooth running studio operations on a daily basis (coordinate lessons, appointments, student’s chats etc…) • Respond to phone, voicemail messages and emails promptly • Book new inquiries as well as the current studio lessons. • Collect payments and process student’s enrollments. • Create, update and file student’s records and binders. • Create and submit studio weekly reports to the head office. • Produce monthly group calendar. Print, update website and schedule staff booking program. • Be willing to learn communication techniques to keep students informed of studio offers and events. We do expect you to be knowledgeable and passionate about our dance programs and promotions to get people to enrol. • Meet with new students to explain studio dance programs. • Occasional special tasks such as creating promotional posters/flyers and social media presence (using Canva and Mailchimp mass emails). • Work with management to coordinate studio special events. • Daily light cleaning to keep the studio tidy and presentable. You must be/have: • Have extensive knowledge of Microsoft Office, especially Word and Excel to start the job. • Possess higher than average typing skills on the keyboard. • People Oriented - enjoy working with people. • Enthusiastic and Positive Attitude - have an aptitude for a job. • Reliable and Goal Oriented - be able to sort out and handle situations yourself. • Independent - complete task with a little supervision and alone. • Detail Oriented - being able to focus while music is playing and people are chatting around you. • Success Driven and Innovative - add positive changes to studio customer service. Job Type: Permanent Full-time: 34+ hours per week Salary: starting at $18.50 per hour + bonuses. Negotiable based on your previous experience. Then increase after probation period based on productivity. Schedule: • Full-time only • Day time/Evening Time (12:30PM to 9:30PM) • Monday to Friday • May be asked for occasional weekends Ability to commute/relocate: • Ottawa, ON Education: • Secondary School (preferred) Experience(preferred but not required) • Front desk: 1 year (preferred) • Administrative experience: 1 year (preferred) • Sales experience: 1 year (preferred) Additional: • Some experience in dancing, sports, arts or theater is a big plus!
